Information we collect

Depending on how you contact us and the work you ask us to undertake, we may collect:

  • Your name, telephone number, email address and postcode or property address.
  • Room measurements, property details, photographs and information about the proposed installation.
  • Messages, enquiries, survey notes, quotations and appointment details.
  • Job, warranty, servicing, invoice and payment records.
  • Business contact information where you enquire on behalf of an organisation.

The room-sizing calculator does not store your completed answers on the website. It prepares a message in your chosen WhatsApp or email application. We receive the information only when you choose to send that message.

Why we use your information

We use personal information to:

  • Respond to enquiries and arrange surveys.
  • Calculate provisional system sizes and prepare quotations.
  • Supply, install, commission, service and maintain equipment.
  • Manage appointments, payments, warranties and customer support.
  • Keep accounting, tax, safety and regulatory records.
  • Protect our business, customers and legal rights.

Our lawful bases normally include taking steps at your request before entering a contract, performing a contract, complying with legal obligations and our legitimate interests in running and protecting the business. We will only send electronic marketing where we have a lawful basis to do so, and you can ask us to stop at any time.

Provisional room sizing

Our website uses the room measurements and extra-heat information you enter to provide a provisional air-conditioning size. This is an initial guide only. A person from Dual Climate will confirm the final system selection after considering the property, glazing, insulation, orientation, pipe routes and other relevant conditions. The calculator does not make a legally significant decision about you.

Who we may share information with

We only share information where necessary. This may include our directors and workers, electricians or other subcontractors involved in your job, equipment suppliers, accountants, insurers, payment providers, and providers of website hosting, security, email and communication services.

If you choose WhatsApp, your message is also handled by WhatsApp/Meta. If you choose email, it is handled by your email provider and Google Workspace, which provides our business email. Some providers may process information outside the UK. Where required, they must use appropriate data-protection safeguards.

We may also disclose information where required by law, a regulator, court, insurer or law-enforcement authority. We do not sell personal information.

How long we keep information

Enquiries that do not proceed are normally kept for up to 12 months so we can respond to follow-up questions and understand previous discussions. Customer, contract, job, warranty, invoice and accounting records are normally kept for up to six years after the relevant relationship or accounting period, or longer where the law, a warranty, dispute or insurance requirement makes this necessary. We securely delete information when it is no longer required.

Your data-protection rights

Depending on the circumstances, you may have the right to ask for a copy of your information, correct it, delete it, restrict how it is used, object to its use or receive it in a portable format. You may also withdraw consent where consent is the basis we rely on.

To exercise a right or make a data-protection complaint, email Ben@dualclimateacltd.com. We will acknowledge a data-protection complaint within 30 days and respond without undue delay. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Cookies and website technology

Our website may use strictly necessary cookies or similar technology required for hosting, security and reliable operation. These cannot be switched off through the website because they are needed for it to work.

We do not currently use optional advertising or visitor-analytics cookies on this website. If that changes, we will update this notice and provide a consent choice where the law requires one.

Updates to this notice

We may update this notice when our services, providers or legal obligations change. The latest version will always be available on this page.
